Personal Assistant To The CEO

​

OVERVIEW: 

West Hollywood based Multimedia production company is seeking a reliable and detail-oriented Personal Assistant with strong judgment skills to support the office of its CEO/Founder. The role will be split between the company's HQ in Los Angeles, CA and the principal's home in Beverly Hills. The Personal Assistant will work hand-in-hand with the Executive Assistant to ensure the CEO’s life can run smoothly. Job Responsibilities are listed below:

 

RESPONSIBILITIES: 

Personal Admin: 

  • Maintain weekly to-do list with guidance from the CEO and proactively help with accomplishing all tasks while meeting all deadlines. 

  • Drive CEO to meetings, production shoots, etc., as needed, and provide on-location support as directed.

  • Schedule and track all appointments, social calendar meetings, and RSVPs. Coordinate with Executive Assistant to ensure schedules run smoothly and guest lists are accurately developed and maintained.

  • Run errands as directed including, but not limited to, coffee/lunch runs, personal errands, etc.

  • Support CEO's designee(s) with the above as needed.

 

House Management: 

  • Track and maintain house inventory, place orders, restock supplies, and update/maintain all details in-house manual.

  • Maintain and oversee relationships with all house vendors including sourcing new vendors as directed, on and maintain residence calendar and coordinate all vendor and visitor appointments. 

  • Support on-site events including vendor management and vendor coordination for social gatherings, private events, etc.

 

Other Duties:

  • Gifting: Order gifts for business partners as directed by the CEO or designees, coordinate with EA or other designees on company holiday gift(s) and track/coordinate all deliveries. 

  • Travel: Book and coordinate personal travel, transport and accommodations for CEO and provide detailed travel itinerary maintaining high level of organization with ability to quickly adjust as needed/directed.

  • Expenses: Own and maintain expense report for all personal expenses and complete monthly reconciliation.

 

SKILLS & EXPERIENCE

  • 3+ years’ experience in high-volume PA/EA position supporting a c-suite executive.

  • 1-2+ years’ house management required.

  • Proven ability to take direction, adjust to rapid changes and thoughtful on the spot problem solving while maintaining a positive and professional demeanor, required.

  • Proven ability to maintain confidentiality and use the utmost discretion in every situation, required.

  • Ability to effectively collaborate with Executive Assistant and other delegates of CEO, required.

  • Knowledge of Los Angeles and surrounding areas, required.

  • Hyper-focused on details and maintaining smooth workflows and scheduling, required.

  • Valid driver’s license and reliable transportation, required (mileage is reimbursed).

  • Entertainment and hospitality industry experience, a plus.

  • Must be eligible to work in the U.S.

 

ADDITIONAL DETAILS: 

This is a non-exempt on-site role expected to work Monday through Friday and have flexible availability after hours and on weekends as needed. Overtime hours may reach 50+ hours weekly during busy periods but are not guaranteed. The hiring range for this position in Los Angeles, CA is $20 to $25 per hour and is overtime eligible.
